To Start

Logging In
  • Dial your AUDIX number 5-0500 and wait for the system to answer.
  • Enter your 5 digit extension and press #.
  • Enter your password and press #.
Logging Out
  • Hang up or
  • Press **X to exit AUDIX and place another call or drop AUDIX from a conference call.
Change Password
  • Press 5
  • Press 4
  • Enter new password (up to 15 digits, 0-9) then press #
  • Re-enter new password and press #

Note: Passwords must be at least 5 digits.  They cannot be repeated numbers (11111), be in ascending order (12345), descending order (54321), or be the subject extension number (5-xxxx).

Listen To Your Messages
  • Press 2
  • Listen to message header
  • Press 0 and listen to message
  • Options
    • Press 2 to rewind, and 3 to replay message
    • Press *D to delete message. If immediately after deleting a message, you need to restore it, press **U to undelete the message.
    • Press # to save and skip to next header
    • Press **H to hold the message in the "New" category. The message waiting lamp will remain on.
  • Responding to a message
    • Call sender back directly, press 1, 0
    • Reply by voice mail
      • To send reply only press 1, 7 and speak message
      • To attach original press 1, 1, 9 and speak message
      • Press # to approve and send Now or press #0 to and approve and send with options
    • Forward with comment, press 1, 2. Go to Record Message

Note: All messages (new, unopened, or old) will automatically be deleted after 10 days. Please keep your mailbox clean by deleting any un-needed messages after listening to them.

Record a Greeting
  • Press 3
  • Listen to greeting number in use
  • Press 1 to create/change greeting
  • Indicate greeting number you will record (1-9)
  • Speak greeting
    • Editing greeting
    • Press 1 to stop
    • Press 2 to rewind, press 3 to play back
    • Press *D to delete if you are not happy with the greeting and begin again
    • When finished, press # to approve

Note: You have the ability to create Multiple Personal Greetings and to activate them for different call types. Eg: Busy or no answer calls, on campus or off campus calls. To use the Multiple Personal Greetings feature, listen to the system prompts.

The system greeting is always 0

You are able to record as many as 9 personal greetings, but can only have a maximum of 2 activated at any one time.

Record Message
  • Press 1
  • Speak message
  • To Edit
    • Press 1 to stop
    • Press 2 to rewind
    • Press 3 to play back
    • Press *D to delete if recording is unsatisfactory - Press 1 to re-record
  • Press # to approve recording
Send Message
  • Enter recipient's extension number and press #
  • Listen to address
  • Repeat steps for more addresses
  • Press # to send now
  • Press 0 for Options
    • To make private, press 1
    • To schedule future delivery, press 3
    • To file a copy, press 4
    • To send now, press #
Creating Mailing Lists
  • Press 5, 1, 1 to create a mailing list
  • Options:
    • Enter list ID (name) up to six letters, then press #
    • Press 1 to make private (your personal list only)
    • Press 2 to make public ( share with other users)
    • Enter extension of member then press #. Repeat until your list is complete.
    • Press # to approve list
  • Press 5, 1, 2 to scan list
  • Press 5, 1, 3 to modify list
Sending a Message to a Mailing List
  • Press 1 to create a new message
  • Press 1 to record a message, # to end recording
  • Press *L (*5) to access mailing list
  • Enter owner's extension, then #
    • Enter your extension if you are accessing a mailing list that you created
    • If message is to be sent to a list created by another person enter their extension. Note their mailbox must reside on the same audix.
  • Enter mail list id: # (222) for example
  • Press # when done adding mailing lists and or extensions
  • Press # to send

Check Out Going Messages

The Outgoing Mailbox stores messages created or forwarded by users until the message can be delivered to the intended recipient. It also stores header information of messages that have been sent. AUDIX will tell you if the message was received and listened to.

Review Outgoing Messages
  • Press 4
  • Listen to Header
  • Press 0 and listen to message if message has not been delivered
  • Press # to skip to next header or *D to delete
Re-Send Filed Messages to New Recipients
  • Press 4
  • Press 1
  • Press #
  • Enter recipient's extension and press #. Repeat for more than one extension.
  • Press # to send message
Modify an Undelivered Message and Send as Addressed
  • Press 4
  • Press 1, 1 to record
  • Press 1 to stop
  • Press # to send

Note: If AUDIX is giving you a "full mailbox message", you might check your Outgoing Messages/File Cabinet and delete any unnecessary files.

Out-Calling

The Out-Calling Option allows AUDIX to call you wherever you may be (locally) when you have new messages. When AUDIX receives a message, it will try to call the stipulated number every 15 minutes until you call into AUDIX and retrieve your messages. This option may be very expensive if you set out-calling to a cellular phone but forget to remove out calling before you go on vacation.

Schedule Out-Calling
  • Press 6
  • Press 2
  • Follow verbal instructions:
    • To be called anytime
    • To be called during prime time
    • To specify Out-Calling time
    • To listen to scheduling restrictions
Change Out-Calling Number
  • Press 6
  • Press 1
  • Enter the new number (including 9) and press #

Note: If you want AUDIX to pause while you're entering the Out-Calling number, press * one or more times - AUDIX will pause 1.5 seconds for each *

Note: If you give the number of your pager, and your pager requires a # as the final digit, begin your number with ##. For example, if you want to dial 1234567 and wait three seconds for a second dial tone, and then dial 124#, you would enter ##1234567**124#

Turn Out-Calling on/off
  • Press 6
  • Press Y(9) to turn on, Press N(6) to turn off

Note: Your Out-Calling number is not erased when you turn Out-Calling off. You can always turn it on again without adding a new number.
